Add people to a meeting

Before a meeting

  1. Go to your Teams calendar.

  2. Select or schedule a Teams meeting.

  3. In the meeting details, add attendee names to the Add required attendees or Add optional attendees fields.

  4. Select Scheduling Assistant to find the best meeting time for all your attendees.

  5. Add the rest of your meeting details.

  6. Select Send.

During a meeting

To add people to a meeting you're already in:

  1. Select People People or Show Participants button in your meeting controls.

    • To ask someone who was invited to join the meeting, hover over their name and select Request to join.

    • To add someone who wasn't previously invited, type their name or phone number in the Invite someone or dial a number field.

Note: Up to 1,000 invitees can join and participate during a Teams meeting. Up to 10,000 invitees can join as view-only attendees in meetings that already have 1,000 participants.

Forward a meeting

Invite someone to a meeting you didn’t organize by forwarding the meeting to them. When you forward a meeting to someone, they’ll receive a meeting request that appears to come from the meeting organizer. The meeting organizer will be notified that you forwarded the meeting.

Note: If the organizer turned off Allow forwarding in Response options, you won’t be able to forward the meeting or series.

Select the Teams calendar you’re using below.

  1. Select Calendar Teams Calendar tab icon in Teams.

  2. Select the meeting you want to forward.

  3. Select View event Icon to expand meeting details.

  4. Select Forward Forward button.

    • If it’s a meeting series, select This event to forward the single occurrence or All events in the series to forward the entire series.

  5. In the To field, enter who you want to forward the event or series to.

  6. Add an optional message for the recipient to see.

  7. Select Send Send icon.

Mobile

When you're in a meeting, tap People People or Show Participants button to see who was invited but hasn't joined the meeting yet.

To send someone a reminder to join the meeting, tap their profile picture and choose Call in to the meeting.

You can also tap Add people Add team icon. to add someone who was previously not invited.
