The Overallocated field indicates whether any of the assigned resources on a task is assigned to more work on the task, or whether a resource is assigned to do more work on all assigned tasks, than can be done within the normal working capacity.

There are several categories of Overallocated fields.

How Calculated    If a task has overallocated assignments, this field contains Yes. A task is overallocated if any of the assigned resources is assigned to more work on the task than can be completed within the resource's normal work capacity.

Best Uses    Add the Overallocated field to a task view when you want to review or filter for tasks that have more work on the task than the assigned resources can do within the allotted time and the resources' normal working capacity. You can then take action by assigning other resources or adding overtime.

Example    The "Prepare proposal" task is assigned to Sean, Chris, and Jamie. Chris is assigned to 10 hours of work scheduled to take place in one day, but the normal working day for Chris is 8 hours. Because Chris is overallocated on this assignment, the task is overallocated. The Overallocated field contains Yes.

Remarks    You can also see whether an individual resource is overallocated by viewing the resource in the Resource Graph view.

How Calculated    If a resource is overallocated, the Overallocated field contains Yes. A resource is overallocated if the resource is scheduled for more work on all assigned tasks than the resource can do within the normal work capacity. A resource's work capacity is determined by the resource calendar and the resource availability settings in the Resource Information dialog box.

Best Uses    Add the Overallocated field to a resource view when you want to review or filter for the resources that have more work than they can do within the allotted time. You can then take actions such as reassigning tasks, leveling resources, assigning other resources, and adding overtime.

Example    Several resources have been assigned too much work on all their tasks. You can use the Overallocated field to filter for and view those resources.

Remarks    You can also see whether an individual resource is overallocated by viewing the resource in the Resource Graph view.
